Executive Assistant
Position Description
Position Summary:
The Executive Assistant provides high-level administrative, operational, and logistical support to the Chief Policy & Research Officer (CPRO) and the Chief Commercial Officer (CCO). This role serves as the primary point of administrative coordination for the CPRO and CCO, supports industry councils such as the CAQH Provider Advisory Council, and manages the day-to-day operations and maintenance of the CAQH Washington, DC office.
The Executive Assistant is responsible for ensuring that executive, departmental, and office operations run efficiently and professionally. This includes managing calendars and communication for the CPRO and CCO, coordinating complex meetings, supporting council activities, maintaining office appearance and functionality, and overseeing relationships with building management and vendors.
The Executive Assistant is a full-time, exempt position based in the Washington, DC area and operates on a hybrid schedule (2 days onsite in the DC office, plus additional in-office support as needed).
Base Salary Range: $85,000 - $95,000
Specific Responsibilities:
Executive Support to the CPRO & CCO:
· Manage executive calendars, including complex scheduling, meeting prioritization, and travel arrangements.
· Prepare and organize briefing materials, slide decks, agendas, and reports for internal and external meetings.
· Draft, proofread, edit, and format correspondence, presentations, and documents.
· Screen, prioritize, and respond to communications; ensure executives are informed of critical updates and deadlines.
· Track and support completion of action items and follow-ups from meetings and council sessions.
· Process expense reports, timesheets, and administrative tasks related to executives’ operations.
Industry Council & Stakeholder Support:
· Coordinate logistics for industry council meetings, workgroups, and virtual/in-person sessions.
· Manage scheduling, communication, and documentation for council members and external stakeholders.
· Support content development, presentation formatting, and event preparation.
· Serve as a liaison for council participants, ensuring a professional and responsive experience.
Office Services & DC Office Operations:
· Maintain suite security by administering access badges, room access, and regularly auditing badge lists.
· Ensure the overall appearance and functionality of the DC office (conference rooms, kitchen, office spaces, etc.).
· Proactively manage office supply inventory, placing orders, and unpacking deliveries.
· Coordinate copier and printer service, maintenance, and supplies.
· Provide basic onsite IT support in collaboration with the Senior Manager of IT Support Services (e.g., equipment setup for new employees, troubleshooting conference room A/V).
· Support internal meetings through room setup, furniture configuration, catering, A/V, and post-event cleanup.
· Manage incoming/outgoing mail, courier services, and package distribution.
· Maintain kitchen inventory (snacks, beverages, paper goods).
· Coordinate office/cube signage for hires, terminations, and internal moves.
· Liaison with building management regarding HVAC, cleaning, maintenance, and service issues.
· Attend Tenant Council meetings on behalf of CAQH.
· Manage building parking services for staff (new accounts, terminations).
· Triage and resolve staff maintenance requests related to equipment and workspace.
· Assist Finance and Legal with filing and monthly exclusion list compliance screening.
· Coordinate new employee office setup and support internal office moves.
· Receive guests and manage front desk coverage when onsite.
· Other duties as assigned.

Experience:
· Minimum 5 years of experience in an Executive Assistant or similar role, preferably supporting C-level executives.
· Experience supporting committees, councils, or stakeholder groups.
· Experience in operations, office coordination, facilities support, or similar responsibilities preferred.
Education:
· Bachelor’s degree in Business Administration, Communications, Public Policy, or related field preferred.
Working Conditions:
· Candidate must be based in the Washington, DC area
· Hybrid schedule: At least 2 days per week onsite in the CAQH DC office, with additional onsite days as business needs require (e.g., meetings, events, council sessions).
· Occasional travel may be required.
